Terms and Conditions

By making a booking with The Glamping Orchard you are agreeing to the following terms and conditions:

1. Bookings and Payments
All bookings are done online via our website www.glampingorchard.co.uk and dealt with by email, by handand are unfortunately not transferable. For clarity, and to avoid confusion or doubt, booking emails will be prepared according to the details submitted by you via email / our website. So, please check your booking email carefully to ensure you are coming to the right accommodation on the right day as we cannot be held responsible for errors in information provided at the time of booking. Once a booking request has been received, we will contact you to confirm that the dates are available. The
confirmation email (the “Booking Confirmation”) is proof that we have accepted your booking. We will hold the dates for 5 working days, within which time a nonrefundable 30% deposit is due to secure it. Payment can be made online or by bank transfer (details will be sent with confirmation of dates). If a deposit has not been received within 5 working days the dates will be released. The Booking Confirmation and these terms and conditions form the agreement between us which shall become binding upon payment by you of the deposit in accordance with these terms. The remaining balance must be settled at least 10 weeks before arrival (please note the date and we will send you a reminder too!). If payment is not received, your accommodation will be put up to be re-let and there will be no refund of your deposit. If the booking request is made within 10 weeks of arrival, full payment will be due within 5 working days to secure the booking.

2. Cancellation
If you cancel the accepted/confirmed booking for any reason, you must notify us in writing by email or letter. If the cancellation is more than 10 weeks in advance of your stay the booking deposit of 30% is nonrefundable. We will try our upmost to see if we can transfer your deposit to another available date. If the alternative date attracts a higher price, you will need to pay the difference at the time of transfer. If the booking is cancelled within 10 weeks of the arrival date 100% of the sum will not be refunded and cannot be transferred to another date. We strongly advise all guests to take out full holiday
insurance to cover cancellations, public liability, personal belongings, loss etc. Finally if, heaven forbid, we are forced to cancel your booking for any reason – and it will be a very serious reason – then the limit of our liability will be the amount you have paid for the holiday. We will be upset. You will be upset. But please remember sometimes these things happen and if they do we will have done everything humanly possible to avoid it and it really will have been a last resort.

3. Arrival and Departure Times
Check in is between 4pm and 7pm. If you are likely to be later than this please let us know a rough arrival time in advance, so we can ensure we are nearby. We strongly recommend you arrive at least an hour before dark so you can familiarise yourself with your surroundings and
facilities. Please vacate your accommodation by 10am on the day of departure. We do expect you to leave your accommodation on time so we have enough time to clean and prepare the facilities for our next guests.

4. Responsible Tenanting
By booking with The Glamping Orchard you are agreeing to leave all furniture and furnishings in the same state you found them, and to leave the site clean and tidy when you depart. Should any facilities, equipment, or Terms and Conditions inventory, be damaged willfully, as a result of inappropriate usage or behaviour, you will be held responsible for the cost of repair or replacement.

5. Fires and Stoves
The Glamping Orchard sites are rented out as selfcatering units with wood burning stoves for heating water and space. Fire pits are also provided to keep you warm at night and to cook over if you’re feeling adventurous! Fires are only permitted in the wood burning stove and
the fire pit. Only wood is to be burned in the wood burning stove. Heat resistant gloves are provided for safe loading of logs. The door to the stove must be kept closed at all times when lit. We can take NO responsibility for any accidents incurred as a result of careless use of stoves
and fire pits. You MUST look after your children who may not be accustomed to fires. You must not light fires after excessive amounts of alcohol. If you have any questions about this then please call and we will talk you through it. All tea lights must be kept in the lanterns provided. Please
do not tamper with any of the gas bottles. If you think the gas has run out please ring us and we’ll investigate. There is a fire extinguisher and fire blanket in each camp. Please only use these if you are sure it is completely safe. There is strictly no smoking in any of the buildings or in your
rental space at The Glamping Orchard.

6. Children
This is a wonderful environment for children and we encourage them to enjoy it to the full, but they are your responsibility at all times. We would ask you to take particular care of them around the river and any fires/naked flames. The trees in the orchards are quite
brittle and as such we would discourage children from climbing them.

7. The Surrounding Area
The Glamping Orchard is surrounded by a working arable farm, as such, there are crops planted in surrounding fields which we ask you to respect. There are also horses, sheep and cows nearby, we ask you not to feed them or cause them any distress. Please obey any no entry signs on and near the site, these are here for your safety. You are responsible for your own and your party’s personal safety when on site and in the surrounding area.

8. Noise
Noise at night must be kept to a minimum. Sound travels far in the country and we ask you to respect our neighbour’s peace and quiet. A small radio is permitted and acoustic instruments are encouraged, but please leave the large sound systems at home. If you cause a disturbance and continue to do so after being asked by us to stop, we reserve the right to ask you to leave.

9. Dogs
Dogs are only accepted by prior arrangement, and must be kept under control at all times. Please note that there is livestock on-site and in nearby fields and farmers do not take kindly to dogs chasing their sheep. There will be a small charge of £25 for one dog £35 for two to cover
any extra cleaning required on departure. This charge is added on at the initial booking stage.

10. Personal Belongings
The Glamping Orchard takes no responsibility for the loss or damage of any personal belongings brought onto site. Please leave valuables at home. Parking is at the owners own risk and please ensure bikes are locked.

11. Prices
At The Glamping Orchard the prices advertised on our website are accurate at the time of booking but can move up or down and we reserve the right to do so. Although prices may vary from time to time, the price payable is the price set out in the Booking Confirmation. Our prices are, to all intents and purposes, inclusive so they include:
a) Your accommodation
b) Reasonable amounts of firewood for fires,
based on a fair use policy. If more is required, please replenish from the Honesty Hut.
c) Bell tent – Bed linen for the double bed.
Pillows for the extra beds (but no bedding for these, please bring sleeping bags) based on the number of people specified. Warwick – All bedding provided.
d) Eggs from the chickens. Again on a fair use policy – and only if they’re laying and only if you can find them.

Not Included:
– Cleaning. We do expect you to leave your
accommodation in a good state when you
leave. It will still be cleaned by us when you
go but we will levy a cleaning charge if you
leave it excessively dirty.
– Damage. If you break things we do expect
you to pay for them. So please tell us if
anything goes wrong. If we think it is our
fault we’ll pay – if it’s yours we’ll expect
you to fork out!

12. Assumption of Risks
Remember that you will be lighting fires and staying in the countryside with many potential risks (and delights, it has
to be said) so you must take care of yourself and your companions. If you are cycling, climbing trees or just exploring the area be careful, keep aware and don’t get lost.

It is your responsibility to supervise any children. You might consider taking out travel insurance against the risk of accidents and your stay being cut short especially if you are not a UK resident.

13. Out of our Control
There may occasionally be things that, through no fault of our own, we can’t provide what we said we would. We
will therefore not guarantee that everything on the website will always be here. Most practically that means the chickens have been eaten by foxes – as unfortunately it has happened or the horse has lost a shoe and is unavailable to pull the cart. In the most extreme cases – clearly for some bizarre
reason – we may have a reason to cancel your booking or a part of it, for example, if damage to your accommodation was caused by a freak storm. In such cases not only will we have tried to find every solution imaginable but we will be deeply sorry too. However, our liability will be limited to a pro rata refund for any days we were unable to provide and will not allow for any consequential losses on your side.

14. Force Majeure
The Glamping Orchard are not liable for refunds or expenses you incur in the event we are prevented from fulfilling your Booking as a result of circumstances beyond our control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events (“Force Majeure”). We recommend that you have adequate holiday insurance in place to cover this.

15. Liability
Nothing in this agreement shall limit or exclude our liability for: (i) death or personal injury caused by negligence; (ii) fraud or fraudulent misrepresentation; or (iii) any other liability which cannot be limited or excluded by applicable law. In addition to the above, we shall not be responsible for any: (i) loss of income or revenue; (ii) loss of business; or (iii) indirect or consequential loss or damage, in each case, however caused, even if foreseeable. Our maximum liability shall be no more than to refund the amount paid by you for the holiday.

16. Privacy

17. Complaints
We want you to have an enjoyable stay but should you have any causes for complaint, please speak to us as soon as possible and we will try our best to resolve your complaint. If, at the end of your stay with us, you feel we have not dealt with your complaint
satisfactorily, please contact us by telephone (07974174534) or by email (stay@ glampingorchard.co.uk) as soon as possible.

18. Jurisdiction
These Terms and Conditions shall be construed in accordance with English law and the parties submit to the exclusive jurisdiction of the English Courts.
